We are looking for a team assistant to cover: 

  • Schedule meetings, manage Outlook inbox and calendar. Handle day to day administrative responsibilities for senior management within the Merchant Banking Division
  • Preparation of domestic and some international travel arrangements; including: booking flights, visa applications, accommodation, foreign currency orders, arranging meetings and preparation of itineraries
  • Act as gatekeeper, screening phone calls and email, responding or delegating to insure timely response
  • Handle invoices and expenses ensuring all are paid on time whilst adhering to strict internal payment policies
  • Managing legal chops of various investment vehicles, handling chop requests, organizing and keeping log of requests, maintaining inventory of corporate registries and stock replenishment
  • Various administrative and ad hoc tasks


  • Professional communication skills are essential, both written and verbal
  • Hardworking, good judgment, flexible and motivated to work in a fast paced environment
  • Ability to work with people from different countries and cultures, and in different time zones
  • Attention to detail, proactive and efficient with the proven ability to take initiative
  • Organized; good time management skills; ability to multi-task and manage conflicting priorities
  • Outgoing, self-confident, energetic and friendly demeanor
  • Exhibits curiosity, creativity and quick thinking
  • Fluency in Japanese and business level English (both written and spoken)
  • Team player who can work and contribute in a team environment to achieve goals
  • Responsible and responsive - willing to go the extra mile
  • Experienced in Microsoft Office: Outlook, Word, Excel, PowerPoint and comfortable learning new technologies/applications
  • Able to handle confidential information appropriately
